The agency was managing projects in Asana, tracking time in Harvest, and pulling financials from other systems. Leadership had no single view into which projects were on track, which were over budget, or where the team had capacity. Reporting was manual, inconsistent, and always lagging behind reality.

This digital agency was running a healthy book of business but had no clear picture of where things actually stood at any given moment. Project data lived in Asana, time tracking was in Harvest, financials were tracked separately, and the only way leadership got a status update was through manual reports that were already outdated by the time they were compiled.
We started by mapping their entire workflow across platforms, identifying which data points actually mattered for decision-making versus what was just noise. From there, we built a custom dashboard that pulled data from multiple sources into a single real-time view. The dashboard included project health indicators, team utilization rates, budget tracking against original estimates, and deadline alerts for at-risk deliverables.
The key design decision was building two layers of visibility. Leadership got a high-level view showing overall agency health, capacity, and financials at a glance. Project managers could drill into individual projects to see task-level detail, time logged versus budgeted, and team member workloads. The aim was to turn weekly status meetings from hour-long report reviews into quick check-ins, with the live dashboard standing in for the manual weekly report.
